The Challenge

Our client, a global health company, faced a problem of time mismanagement, with customer agents spending too much time summarising calls within the CRM system and not enough time attending to customers. To address this problem, it was initially decided to implement a chatbot for customer care. However, due to certain limitations, the client opted for the second option.

The Solution

The Head of Global Customer Support reached out to Sphere for a custom Generative AI solution for call summarization and chatbots for customer interactions.

Through Sphere’s tailor-made solution, we aimed to demonstrate the effectiveness of these technologies and validate that GenAI could significantly reduce the time required for call summaries and ensure a smooth transition to a more efficient system, aligning with the senior leadership’s goals.

To prove the concept, Sphere undertook the following steps:

Design Workshop

Sphere organized a comprehensive GenAI workshop, where Sphere engaged with the client to explore the full potential of generative AI technologies. During this workshop, our team conducted an in-depth analysis of the client’s operational landscape and pain points. The primary objective was to familiarize the client with GenAI’s capabilities and identify how these technologies could address their specific challenges. This initial phase was crucial for setting the groundwork to identify the best-fit solution to address the unique business challenges while fostering an environment where both parties can brainstorm and align on objectives, expectations, and outcomes.

The workshop’s outcomes included a detailed understanding of the client’s challenges and opportunities for technology integration. Sphere’s consultants worked closely with the client to map out their current processes and highlight areas where GenAI could provide significant value. This engagement not only educated the client about the possibilities of generative AI but also established a collaborative framework for the subsequent phases. This alignment set the stage for a more focused and effective design process, as the insights gained here directly informed the development of the Solution Design.  By thoroughly understanding the client’s needs, Sphere was able to lay the foundation for designing a targeted solution that would be both relevant and impactful.

Solution Design

Building on the insights from the workshop, Sphere’s Solution Design phase focused on crafting a tailored solution that leveraged GenAI to address the client’s identified challenges. This phase involved creating an understanding on what specific use-case GenAI would impact, along with a detailed design for how GenAI would integrate into the client’s existing environment. Sphere’s team developed a comprehensive plan, outlining the necessary technical components and infrastructure to support the solution. 

One of the key benefits of the Solution Design phase was the development of a clear, actionable blueprint for the solution. By mapping out the technical requirements and outlining the steps needed for implementation, Sphere was able to provide the client with a precise understanding of the project’s scope and complexity. Additionally, this phase involved estimating the level of effort required, which allowed the client to gauge the resources and time needed for successful deployment.

The Solution Design phase was integral in bridging the gap between theoretical concepts and practical application. It translated the innovative ideas generated during the workshop into a structured, executable plan. This phase’s outputs were essential for validating the feasibility of the proposed solution in the next stage, as they provided a concrete framework for testing and evaluation.

Proof of Concept (POC) Validation

The Proof of Concept (PoC) Validation phase aimed to de-risk the proposed solution by building and testing a specific workflow. Sphere developed a functional prototype to demonstrate the viability of the GenAI technology within the client’s environment, and enabled the client stakeholders to use it alongside their current workflow to try it out. This phase was critical for validating the maturity of the technology and ensuring that it could effectively address the client’s challenges, and provide a side-by-side comparison between their current processes and the newly planned way of working using the solution.

During this phase, Sphere and the client assessed whether the solution could deliver the anticipated benefits and scale as needed for the organization. The results of these tests provided valuable insights into the practical application of GenAI and helped to refine the solution’s ROI for the company sponsors and stakeholders. By validating the technology in a controlled setting, Sphere was able to mitigate risks and provide the client with confidence in the proposed solution’s effectiveness.

The results of the PoC phase were significant. It provided empirical evidence of the solution’s capabilities and ensured that the technology would meet the client’s needs before committing to a full-scale implementation. This phase not only validated the proposed technical solution but also set the stage for a successful rollout by addressing any issues or adjustments needed based on real-world testing. The insights gained from the PoC were essential for finalizing the deployment plan and ensuring a smooth transition to full implementation.

The Result

Sphere’s expertise in GenAI enabled the creation of a customised solution for the client. The client received comprehensive design sessions to identify the most impactful area for their business, followed by a detailed solution design specific to their needs. They were provided with design artefacts and a Level of Effort (LOE) estimation to guide implementation. A Proof of Concept (POC) was conducted within their actual environment to de-risk and validate the solution, ensuring it meets or exceeds the defined KPIs before full-scale implementation.

The small investment in the POC provided concrete results from the client’s operations, validating the technology’s positive impact. This affirmation of the hypothesis and business case confirmed the technology’s suitability and demonstrated immediate benefits, leading to the POC’s adoption while the full solution is developed.
